Rules, forms and exemptions
The forms must ensure that you get all the necessary information when you submit a form, e.g. a dispensation application or thesis contract. Remember to get any relevant approvals/signatures on the form or to attach any attachment before you forward it.
When you send a form from your student email, you do not need to sign - your AAU student email is just as valid as a signature.
When there are several group members
If several group members must hand in the same form, all group members' names, study numbers and email addresses are noted on the form. The form must be signed by all group members, and one of the group forwards the form from his/her student email.
Dispensations are exemptions from the general rules. exemption can only be obtained if there are unusual circumstances (e.g. illness).
An exemption application must contain:
- the applicant's name and social security number
- a precise indication of what is being sought
justification or reason why it is necessary to apply for a dispensation
- a probability that the dispensation can remedy the problem
- medical certificate or other documentation
- in most cases, it will also be necessary to fill in the study plan at the end of the application. It is a good idea to prepare this together with one of our study advisors
The Board of Studies may not grant a dispensation on the basis of a lack of study suitability (e.g. that the test was difficult or that the student was not properly prepared).
Circumstances that can be considered unusual/special:
- are unusual in the sense that it is not something that is often experienced (that occurs routinely).
- is beyond one's control. it must therefore not be something that could have been avoided by common sense, that one should have been able to foresee, or that is otherwise "one's own fault".
- has been of decisive importance for one's ability to comply with the rule(s) from which exemption is sought.
Requirements for medical certificates
- it must clearly appear from the medical certificate that you have been ill.
- it should be stated that the doctor has assessed that you are or have been ill, have or had an illness or are or have been on sick leave.
- it must be clear from the medical certificate how your illness is relevant to your exemption application.
- it must be stated in the medical certificate during which period you have been or are ill.
- it must be stated whether the illness is expected to be temporary or permanent. if it is a time-limited illness, it must be stated from which date to which date you are expected to be ill.

The application form and relevant attachments must be sent to the study board email@example.com. When you send a form from your AAU student email, you do not need to sign - your student email is just as valid as a signature.
Send the exemption application in good time and no later than 7 working days before the next study board meeting.

Exemption for the 4th test attempt
The Board of Studies has the option to grant a waiver if there are 'unusual circumstances', if the Board of Studies cannot grant a waiver application for a 4th exam attempt, the student is barred from continuing on the program as a result of the student having exhausted his exam attempts and is thus discharged from Aalborg University no later than 14 days after the decision has been made.
Exemption from the first-year exam
The first-year exam consists of the participation requirement and the pass requirement. both requirements must be met before the student can continue on the programme.
The participation requirement: Before the end of the first year of study on the diploma engineering and bachelor's programmes, the student must participate, i.e. achieve a grade in all tests.
The pass requirement: The student must pass all tests in the 1st and 2nd semesters before the end of the 2nd year of study after the start of studies (the 24-month rule).
The Board of Studies can grant exemptions if there are unusual circumstances.
All diploma engineering students must complete an internship with a duration of 30 ECTS. The internship is placed in the last part of the 6th semester and the first part of the 7th semester.

Common provisions and the examination system
The common regulations and the examination system apply to the Faculty of Engineering and Natural Sciences, the Faculty of Health Sciences and the Technical Faculty of IT and Design at AAU. Here you can, among other things, read the general rules for the exam.
As a student, you can apply to the study board for money for excursions, study trips and other study-related activities.
Note: Costs for travel and materials in connection with project writing must be covered by your supervisor.

The note below sets out some tools to help with the group formation process, including various options for the course of the process, and also covers the problems that may arise with this, including students who cannot join a group and the subsequent possibility of splitting groups as well as recommended group sizes.
Merit means that you are allowed to replace part of your education with another activity.
Credit is awarded when you have successfully completed an activity that carries credit.
Advance credit is given before you have passed an activity, and is thus the study board's commitment that you are guaranteed credit for the activity if you pass it. This applies especially to stays abroad.

Advance Credit Effective for Fall Semester: April 1st.
Advance Credit Effective for Spring Semester: October 1st.
Merit: must be processed and approved by the Board of Studies before the start of the semester or as soon as possible. You must calculate one month for this case processing.
Merit for stay abroad: as soon as possible after you have finished your stay abroad and preferably before 1 February/1. August.
Guide to prequalification for a semester at a foreign university
- examines which relevant courses the university in question offers (check the website).
contacts his subject coordinator/semester coordinator to find out whether the courses are relevant in relation to the programme.
- apply to the Board of Studies for prior approval of the chosen courses using the form above. The Board of Studies can allow you to choose one course of a maximum of 7.5 ECTS, which is less academically specific. Other courses must be relevant in relation to the learning objectives of the programme.
- chooses extra courses up to a total of 60 ECTS and prioritizes these courses.
The student can otherwise get into trouble if the courses are not offered or are overbooked at the foreign university.
- must, after returning home, submit documentation (copy of study record/transcript) to the study board secretary of passed exams for the agreed number of courses followed at the foreign university.
The first step in the process of preparing for a stay at another university is to research where you want your stay. Student at AAU Aalborg
As a student on campus in Aalborg, you must contact the International Office via the email address: firstname.lastname@example.org, when you have found a university you want to stay at.
Students at AAU Copenhagen (CPH)
As a student at AAU Cph, you must send an email to email@example.com. You will then receive the correct agreement form as well as instructions for completing and returning the agreement.
Student at AAU Esbjerg

Prior merit and merit
If you are going to study at another university, you must apply well in advance at the study board.
Before writing your master's thesis, you must complete the thesis contract below. The contract must be approved by the supervisor and then sent to your study secretary from your student email with the supervisor on cc in the email.

The agreement is submitted for approval no later than one month after the start of the project, i.e. normally 1/10 (specials of 60 ECTS) or 1/3 (specials of 30 ECTS).
If several group members have to hand in the same thesis contract, all group members' names, study numbers and email addresses are noted on the contract.
If there is a need for a confidentiality statement, the study board should be contacted. For inspiration, contracts can be found at the Kontraktenheden.
There is a study entrance examination for all students in the 1st semester of the bachelor and bachelor of engineering programs under the Study Board for Chemistry, Environment and Biotechnology in both Aalborg, Esbjerg and Copenhagen.
The test is held during the first weeks of September after the start of studies. It has a duration of 45 minutes and is without aids. The entrance examination is passed when it has been answered and submitted.
The purpose of the entrance exam is, among other things, to determine whether the new students have started the programme, and new students must therefore take part in and pass the entrance examination in order to continue on the programme. The study start test, for example, uncovers the basis for the choice of study as well as the students' expectations for and motivation for the study.
At the same time, the purpose of the initial study test is to create a mathematics screening that helps us uncover the students' mathematical skills with a view to possibly suggesting areas that can be improved by participating in special courses, e.g. Math101.
The test will thus contain a section with a number of general questions about the student's expectations for the study and the basis for the choice of study (questionnaire) as well as a section with a number of questions in various mathematical disciplines (quiz). The student will be able to review his answers and see the correct answers after completing the entrance exam.
There is one re-examination in the entrance examination. If the student does not take part in either the regular entrance examination or the re-examination, the student will be discharged from the program before 1 October. The Board of Studies can waive the rules regarding the entrance examination if there are unusual circumstances.
In all study boards for full-time programmes, a candidate is nominated for Teacher of the Year at the relevant study board.
The student representatives for the respective semesters take the initiative to find a candidate and draw up a written proposal. The Board of Studies nominates the Teacher of the Year at a meeting in May. The options are sent to the study board secretary.
